Participation Verification
What is participation verification?
Federal financial aid regulations require institutions to determine whether students who receive Title IV (federal) financial aid begin academic engagement in each course used to establish their eligibility for aid. To support accurate awarding and timely disbursement of federal financial aid, Missouri State University verifies course participation at the beginning of each term rather than waiting until final grades are posted.
If participation is not confirmed until the end of the term, a student who never began participation in one or more courses may have received more financial aid than they were eligible to receive. Correcting those awards after the term ends can result in reduced or canceled aid, outstanding balances owed to the University, and repayment of financial aid refunds that may have been issued weeks or months earlier.
By verifying participation at the start of the semester, financial aid eligibility is based on confirmed enrollment from the beginning of the payment period, significantly reducing the need for retroactive adjustments. This is particularly important for Federal Pell Grants, which may only be paid for coursework in which a student actually begins academic engagement.
What counts as "course participation" or "academic engagement"?
For federal financial aid purposes, this requirement applies whether or not an institution normally takes attendance. Federal regulations define academic engagement as active participation in an educational activity related to the student's course.
Academic engagement means active, course-related participation, such as:
- Attending a live class, lecture, or lab (in person or online) with real interaction between instructor and students
- Submitting an academic assignment
- Taking an assessment or exam
- Participating in an interactive tutorial, webinar, or computer-assisted instruction
- Taking part in an assigned study group, group project, or online discussion
- Interacting with an instructor about academic matters
It does not include:
- Living in institutional housing
- Being on the meal plan
- Logging into an online class with no further activity
- Academic counseling or advisement alone
How it must be documented
The University, not the student, is responsible for determining whether a student began academic engagement. A student's statement that they attended or participated is not sufficient by itself. The determination must be supported by institutional documentation demonstrating that the student engaged in an academically related activity.
How the process works
At the beginning of each term, Missouri State faculty and course instructors are asked to verify academic engagement for all students enrolled in their courses. This is a one-time verification of whether a student began academic engagement and is not intended to serve as ongoing attendance tracking. Missouri State University is not an attendance-taking institution.
Participation is verified by the instructor, or a designated proxy, through the Participation Verification card in the My Missouri State portal.
Students can view their verified courses by accessing their Student Schedule on ATLAS and selecting the "Detailed Schedule" tab.
Courses in which academic engagement has been verified by the time financial aid is disbursed will be included when the Office of Student Financial Aid determines a student's enrollment for Title IV aid eligibility, calculates awards, and disburses federal financial aid. Courses for which participation has not yet been verified at the time of disbursement will not be included in the student's financial aid enrollment. If participation is verified after disbursement, the Office of Student Financial Aid will review the student's eligibility and make any required adjustments in accordance with federal regulations.
Some courses require delayed participation verification due to their unique structure. Examples include second-block courses, consortium courses, and education abroad coursework. Although participation in these courses cannot always be verified at the beginning of the term, the Office of Student Financial Aid will verify participation as soon as it becomes possible and will update a student's financial aid eligibility, if necessary, to ensure compliance with federal regulations.
