Surplus Pickup Requests

To request a pickup, please fill out the Surplus Property Form.

Below are items to note when filling out the form:

When a department desires to surplus computers or items with data drives, the equipment must be sanitized by a representative from Computer Services or a Computer Coordinator before the items will be picked up.

  • Marking this complete on the form indicates the requestor certifies that the machines have been sanitized.

The requestor cannot be the approver for surplus requests. The reason for this is separation of duties. The requestor is the individual identifying that the item is no longer needed or requesting action to be taken, while the approver provides an independent review to verify that the action is appropriate, justified, and complies with organizational policy. Having a second person review and approve the request helps prevent:

  • Unauthorized disposal or removal of university property.
  • Mistaken disposal of items that may still have value or be needed elsewhere.
  • Loss of accountability for assets and equipment.
  • The appearance of a conflict of interest or lack of oversight.

For university property, surplus items, fixed assets, or any inventory-controlled equipment, best practice is that the request should be approved by a supervisor, department head, business administrator, or another designated authority who is independent of the requestor.

Open House

The address of the Surplus Property storage facility is 417-W. Mill Street. The building is located downtown, just west of Brick City.

Open House viewing of available surplus for the faculty and staff will be held January - May of the Spring Semester and August - November of the Fall semester, on the third Tuesday from 1 to 3 p.m. There will be no open house held in June, July or December.

In the event the scheduled surplus open house is cancelled due to inclement weather, the makeup date for the open house will be following Tuesday at the same time.

Surplus equipment can be used back on campus for university use only. If a department identifies item(s) they can use back on campus, they will be required to complete a surplus equipment return form. The department, if able, can transport the item(s) back to campus themselves or Property Control can transport the item(s) back to campus based on their availability and current weather conditions.

Campus community surplus property procedures

Computer equipment will only be released to Computer Coordinators, Computer Services or CNAS Electronic Support. The reason for this restriction is that most computers have already had components removed by the preceding university departments/personnel and the units are generally not in good working order.

A list of items stored in surplus is not maintained. Please do not call Property Control asking if there are specific items at the warehouse. Examples of available property are: various media items, refrigerators, microwaves, office chairs, student chairs, metal and wood desks, tables, and file cabinets.

Please do not call or email Property Control requesting surplus items be delivered to departments without first viewing and selecting the surplus items your department may need.

If you miss the surplus open house, you must wait until the next scheduled date to view surplus. There will be no individual appointements scheduled to view surplus outside of the above scheduled dates.

Departments that select equipment to be returned to campus and then send the equipment back to surplus within ninety (90) days, will be charged fifty dollars ($50) though budget transfer to Property Control.
