GENERAL FUNCTION
The Associate Director, Financial Aid Compliance ensures institutional compliance with federal, state, NCAA, and university regulations governing student financial aid. This position supports the university’s enrollment management objectives and student success goals by maintaining integrity in aid processes and serving as a liaison between Financial Aid and Athletics Compliance.
MINIMUM ACCEPTABLE QUALIFICATIONS
Education: A bachelor’s degree is required. A master’s degree is preferred. An equivalent combination of years of experience and education may be considered for substitution of educational requirements.
Experience: At least four years of experience in financial aid operations is required. Experience with student success and retention-based enrollment management models is preferred. Knowledge of Title IV regulations and NCAA Regulations and compliance is required. Experience working in a university system at an administrative level, as well as experience working with foundations, scholarships, and donor awards is required. Experience in risk management, mitigation, or fraud protection preferred. Management and supervisory experience of full-time employees is required. Systems management experience with a highly automated financial aid management system is required and familiarity with Ellucian/Banner is preferred.
Skills: A thorough knowledge of federal regulations as they pertain to the programs administered by the office is required. The ability to communicate effectively, both in writing and verbally, with students, parents, high school counselors, fellow employees, college administrators, and other constituents of the University, is required. The ability to present to groups is required. The ability to relate effectively with all institutional stakeholders is required. Strong organizational and management skills are required.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Monitors and ensures regulatory compliance with Title IV, as well as all state and university regulations and policies.
2. Conducts internal audits and compliance reviews of all financial aid processes.
3. Develops and revises financial aid policy and procedures to reflect regulatory changes.
4. Supports advancement and donor leveraged awards as part of the aid process for students.
5. Provides training and guidance to financial aid staff on compliance matters.
6. Investigates and resolves escalated compliance issues, including suspected fraud.
7. Utilizes Banner and other university systems to manage aid data.
8. Provides direct guidance, training and counseling to students and parents on financial aid
options, application process, FAFSA, entrance counseling, limits, and programs.
9. Prepares and submits compliance reports to internal and external agencies.
10. Monitors, mitigates, and reports possible fraud issues in coordination with Risk Management.
11. Analyzes data to identify trends, risks, and opportunities for process improvement
Athletic Financial Aid Administration:
1. Oversees and coordinates with the athletic compliance office for the awarding, tracking, disbursement, and renewal of athletic scholarships including non-renewals and reductions.
2. Collaborates with Athletics Compliance to ensure adherence to scholarship limits and cost of attendance (COA).
3. Provides training and education for athletic staff on financial aid programs and compliance requirements.
4. Supports FAFSA completion for athletes and coordinates athletic financial workshops as needed.
5. Maintains accurate records and prepares NCAA and institutional reports.
6. Supports both graduate and undergraduate student aid programs.
7. Provides direct guidance, training and counseling to student athletes and parents on financial aid options, application process, FAFSA, entrance counseling, limits, and programs.
8. Serve as a liaison between Athletics and Financial Aid to address financial concerns and ensure coordinated support for student-athletes and their families.
9. Ensures compliance with Title IV regulations and NCAA Regulations as required.
10. Remains competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses as required by the Director of Financial Aid and Vice President for Enrollment Management.11. Contributes to the overall success of the Student Financial Aid Office by performing all other duties as assigned by the Vice President for Enrollment Management.
SUPERVISION
The Associate Director, Financial Aid Compliance, supervises professional staff as well as other full-time, part-time, and student employees.
