GENERAL FUNCTION  

The Fundraising Development Coordinator – Athletics is responsible for supporting and executing fundraising initiatives to enhance the athletic department’s programs, facilities, scholarships, and overall student-athlete experience. This role works closely with the athletics and advancement teams to cultivate donor relationships, coordinate events, and manage donor stewardship efforts.

MINIMUM ACCEPTABLE QUALIFICATIONS

Education: A bachelor’s degree is required. An equivalent combination of years of experience and education may be considered for substitution of educational requirements.

Experience: At least three years of experience in athletic fundraising or donor relations required. Knowledge of NCAA rules and regulations preferred. Event planning and volunteer coordination experience required.

Skills: Strong verbal and written communication skills as well as excellent interpersonal skills are required. Working knowledge of MS Office programs like Word, Excel, PowerPoint, and Teams is required. Knowledge of general budgeting and accounting practices is required. A demonstrated understanding of NIL is preferred. Working knowledge of NCAA rules and compliance practices is required.

Other: Ability to work evenings and weekends as needed for events and athletic functions.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Coordinates the planning and execution of athletics annual giving campaigns, major gift initiatives, and capital projects as well as assisting in scheduling, and coordinating athletic events and practices.

2. Identifies, cultivates, solicits, and stewards donors and prospects, including alumni, parents, and community supporters.

3. Works with the Senior Director of Athletics Development in reviewing the budget and making recommendations for upcoming donor engagement activities based on available budget.

4. Coordinates donor engagement activities such as athletic events, donor receptions, and recognition programs.

5. Maintains and update donor databases, ensuring accurate records of contributions and interactions.

6. Collaborates with coaches and athletic staff to identify funding needs and develops proposals for support.

7. Prepares fundraising materials, proposals, and reports for internal and external stakeholders.

8. Maintains accurate donor records and track engagement using available computer report management systems.

9. Coordinates and executes athletics development events such as donor receptions, alumni gatherings, and fundraising galas in cooperation with other campus offices.

10. Collaborates with campus marketing and communications teams to promote events and campaigns.

11. Tracks fundraising progress and provide regular updates to leadership.

12. Works with the Senior Director of Athletics Development to coordinate with current and prospective donors in solicitating gifts, in a manner that is compliant with the University’s Title IX obligations.

13. Prepares reports, presentations, and materials for development meetings and donor visits.

14. Supports the cultivation and solicitation of prospective donors through research and outreach by working with other campus fundraising offices and administration.

15. Coordinates communication between coaches, athletes, parents, and school administration as needed, as well as collaborates with other departments and areas such as student athlete development, athletics communications, marketing, and compliance.

16. Maintains confidentiality within the organization, University, and other external entities.

17. Remains competent and current through self-directed professional reading, developing professional contacts and colleagues, attending professional development seminars or conferences, and attending training or courses as required by the supervisor.

18. Supports the overall success of the Athletics Department by performing other duties as assigned.

SUPERVISION

Fundraising Development Coordinator – Athletics may supervise regular, student or part-time employees as assigned.
