Summer and Fall 2017 Class Schedule Building Deadlines

Priority Construction Period (November 2, 2016 - January 6, 2017)

Class Schedule Roll

The Office of the Registrar will roll the Summer 2017 and Fall 2017 class schedules on or around November 1, 2016. Departments will be notified via email when this process has been completed. Departments will receive a spreadsheet outlining the information for each class section, including whether or not the section rolled, and if not, why.

Once the department receives the class schedule roll information, class schedule building for Summer 2017 and Fall 2017 may begin.

Class Schedule Building

  • Departments should review the class schedule roll spreadsheet to ascertain which sections rolled and which ones did not roll.
  • For rolled sections, all information in SSASECT should be reviewed and updated.
  • For sections that must be built from scratch (did not roll), builders should begin working on those sections as soon as that information is made available to them.
  • Students and advisors cannot see the schedule information at this time, so departments are free to add, change or modify any information, or delete sections during this timeframe.
  • To build a section with non-standard start and end dates, use Part of Term 10 and input the start and end dates into SSASECT.
  • To delete a section, change the status to D-Deleted. DO NOT USE RECORD REMOVE to delete sections.

Proofing

  • Departments should utilize the Proofing Dashboard weekly during this building timeframe. Each section should be reviewed entirely to ensure accurate information.
  • Departments can also utilize Argos reports and queries to assist in the proofing process.

Room Scheduling

  • Centrally Scheduled Classrooms Requests (November 2, 2016-December 15, 2016)

All centrally requested classrooms should be submitted to Space Management (Shelley Cantrell) no later than December 15, 2016. Departments will request large classrooms (80 seats and above) and other centrally scheduled classrooms by navigating to the Meeting Times and Instructor tab in SSASECT, Schedule Preferences Tab. Indicate the desired building in the Partition Preferences field. Guidelines for scheduling large classrooms can be found on the Space Management website.

  • Space Management will continue to process these classroom requests through January 6, 2017.

 Standard Construction Period (January 7, 2017-January 31, 2017)

Class Schedule Building

  • Students and advisors cannot see the schedule information at this time so departments are free to add, change or modify any information, or delete sections during this timeframe.
  • Sections that are being added or updated should be reviewed for complete information/accuracy before the section is placed in an Active status during this timeframe.
  • To build a section with non-standard start and end dates, use Part of Term 10 and input the start and end dates in SSASECT.
  • To delete a section, change the status to D-Deleted. DO NOT USE RECORD REMOVE to delete sections.

Proofing

  • Departments should utilize the Proofing Dashboard 3-4 times weekly during this building timeframe. Each section built should be reviewed entirely to ensure accurate information.
  • Departments can also utilize Argos reports and queries to assist in the proofing process.

Room Scheduling

  • Rooms available may be scheduled by any department during this time.
  • Large classrooms and centrally scheduled rooms will no longer need to be requested through SSASECT; these rooms will be made available for open scheduling by departments.

 Late Construction Period (February 1, 2017-March 24, 2017)

Class Schedule Building

  • Summer 2017 and Fall 2017 class schedules become available on the web February 1, 2017.
  • All sections that are in an Active status will be viewable to students, advisors, faculty, etc.
  • All Active sections should be accurate and up to date with all information, including meeting days and times, instructors, and building/rooms.
  • Any section that is not ready to be viewed via the web must be placed on Held status in SSASECT before February 1, 2017. Once the section is completed and accurate, change the status back to Active, making it viewable on the web.
  • While changes or modifications to information may still take place during this timeframe, departments should be aware that students and advisors are using the information listed on the web to prepare for registration.
  • If you need to build a class that has non-standard start and end dates, you must request the part of term BEFORE you build the section. Do not use Part of Term 10 during this timeframe.
  • Finalize your Service-Learning sections and notify the Citizenship and Service Learning (CASL) office.
  • To delete a section, change the status to D-Deleted. DO NOT USE RECORD REMOVE to delete sections.

Proofing

  • Departments should utilize the Proofing Dashboard 1-2 times weekly during this building timeframe. Each section built should be reviewed entirely to ensure accurate information.
  • Departments can also utilize Argos reports and queries to assist in the proofing process.

Room Scheduling

  • As of March 10, 2017, all classroom space in Banner will be restricted.
  • Events by departments are allowed to be scheduled, but departments must check 25Live before requesting a classroom be released from restriction.

 March 25th through the end of the Semester

Registration for Summer and Fall 2017 will begin March 29, 2017. The class schedule should remain as up to date and accurate as possible, with minimal changes to avoid registration issues for students.

Class Schedule Building

  • The ONLY changes that departments may make on Active class sections during this timeframe are as follows:

            Meeting Times (Departments must communicate this to the students BEFORE the time is changed.)

            Building/Rooms (Departments must communicate this to the students BEFORE the changes.

            Instructor Information (Departments must communicate this to the students.)

            Course Section Comments

  • ALL other changes must be sent to the Office of the Registrar before the change takes place. This includes but is not limited to: Section Numbers, Parts of Term, Instructional Method, Campus Codes, and Linking.
  • New sections should be placed in a Held status until the section is built in its entirety, then placed in an Active status.
  • If a Held section is being activated, all information should be reviewed before the section is placed in an Active status.

Proofing

  • Departments should utilize the Proofing Dashboard as often as needed to catch any errors/issues immediately during this timeframe. If departments are making changes/modifications or adding sections, the Proofing Dashboard should be used daily.  
  • Departments can also utilize Argos reports and queries to assist in the proofing process.

Room Scheduling

  • Rooms available may be scheduled by any department during this time.
  • As of March 6, 2017 departments need to check R25 for room availability.
  • As of March 13, 2017, Event and Meeting Services as well as departments with class related events may schedule now schedule rooms.
