GENERAL FUNCTION

The System Administrator/Electronics Coordinator serves as the bookstore’s point-of-sale system administrator, serves as a liaison with the point-of-sale provider, and provides information technology support for workstations, cash registers, credit card machines, remote sales locations, and e-commerce web sites. The System Administrator/Electronics Coordinator provides customer service, hires, trains, evaluates and assigns work to Electronics Department sales staff, maintains inventory control, promotes vendor specials, and researches and purchases computers, peripherals, software, personal electronics and accessories, including coordinating the purchase of Apple devices for University operated computer labs and offices.

MINIMUM ACCEPTABLE QUALIFICATIONS

Education: A high school diploma or the equivalent is required. 30 hours of technical IT training and/or experience preferred. A Bachelor’s degree in Information Technology is preferred.

Experience: One year of experience providing point-of-sale system support or three years of experience selling computers, software, and electronics experience is required, which includes at least one year of inventory control experience and/or one year of experience as a buyer. Experience with Linux and computer hardware preferred.

Skills: Effective interpersonal, verbal, and written communication skills are required. Organizational ability is required. A knowledge and understanding of point-of-sale systems, computers and their specifications, software, peripherals, and accessories required. Inventory and record keeping skills are required. The ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds is required. Experience in supervising student and/or part-time workers is preferred.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Provides supervision for the student and part-time electronics staff, including hiring, training, and scheduling.

2. Serves as system administrator for the point-of-sale system, configures the system as required supporting inventory management and e-commerce, installs vendor upgrades, and troubleshoots and resolves issues with daily point-of-sale system operation.

3. Provides technical support for cash registers, credit card machines, remote sales locations, workstations, and all hardware and software related issues.

4. Serves as liaison with internal system provider and Computer Services for technology and networking issues for technical support of problems that cannot be resolved internally. Ability to work with data such as SQL coursework and advanced excel knowledge is a plus.

5. Configures the website to work as expected with the e-commerce component, in addition to supporting the team in the store with general maintenance and functionality of the site and our service provider.

6. Supports the electronics department by providing effective supervisory skills, customer service, researching and purchasing computers, peripherals, software, and other electronics and accessories, and attractively displaying products for sale.

7. Assists customers and trains staff to assist customers in determining computer configurations, explaining the academic discounts available, and the purchasing process.

8. Assists with institutional purchases of Apple computers by working with departments or individuals to determine the system or products needed to meet their needs, working with vendors to receive additional discounts, working with Purchasing to confirm pricing, placing the order, monitoring the status of the order, invoicing and preparing shipments to departments, maintaining records, and monitoring payment status.

9. Meets customer needs by listening to customers, locating and identifying items being sought, contacting vendors, developing sources of supply and preparing detailed quotations or proposals for products.

10. Maintains an appropriate supply of merchandise by purchasing and maintaining inventory control of computer/electronics items, receiving products into stock, processing invoices, returning merchandise as necessary, processing vendor price protection actions, and evaluating prices.

11. Supports the overall operation of the bookstore by participating in the annual store-wide inventory as well as conducting periodic department physical inventories by category.

12. Ensures compliance with the university’s agreement by preparing weekly inventory and sales reports for all Apple products and collaborates with the bookstore marketing department to develop the quarterly Apple marketing plan.

13. Increases knowledge and understanding of computer technology products by researching vendor web sites, reviewing catalogs, talking with vendors and support staff on campus, participating in the Apple Sales Training Online program, becoming certified as an Apple technician, in addition to attending training and/or courses as appropriate.

14. Assists in sales and product training, promotes vendor specials, displays current point-of-sale materials, and works with Apple representatives and the campus representative to improve campus relations and promote sales.

15. Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.

16. Ability to work a flexible weekly work schedule to include both opening and closing responsibilities, as well as some weekend shifts as the full-time supervisor on duty.  May be called upon outside of normal work hours to address system issues or other situations related to core responsibilities of position.

17. Contributes to the overall success of the bookstore by performing all other duties as assigned.

SUPERVISION

The System Administrator/Electronics Coordinator is supervised by the Bookstore Business Manager and supervises student and part-time staff within the department.
