Department Heads’ Meeting Minutes
August 24, 2006 (8:00 a.m.)

§Upcoming Deadlines/Important Dates
1)August 24 – All-College Meeting and Reception, 3:30-5:00 p.m. in Strong 003
2)August 31 – Futures Initiative Concept Papers (1-page) are due to Dean Stone
3)September 1 – Carryover Plans and Department Goals due to Dean Stone (See Dean Stone if you have any questions about specifics of the carryover amounts.)
4)September 15 – Tenure/Promotion applications are due to the Provost (Applications are on the Provost’s website.)
5)September 15 – CHPA Picnic, Phelps Grove Park at 5:00 p.m.
6)September 20 – President’s Annual Report to Campus
7)October 19 & 20 – CHPA Grant Writing Workshop (Faculty should contact Department Heads to sign up for the workshop.)
8)October 25 – CHPA Scholarship Banquet
§Dr. Chris Craig has been appointed Acting Associate Provost for Faculty (2-year appointment). Dr. Craig was the Associate Dean in the College of Education.
§Department Heads and anyone who evaluates staff must sign up for the Appraisal and Development Plan Training.
§Dr. Mark Given (REL) and Dr. Dominic Capeci (HST) have been appointed to the Provost’s Tenure and Promotion Committee.
§Department Heads were asked to poll their faculty to determine how many are planning to travel to professional conferences this year. This information should be sent to Dean Stone as soon as possible so that she can determine travel allocations to each department.
§The Provost’s Office has decided to use only one external reviewer for Program Reviews. The Associate Dean in each College will be the liaison between the Reviewer and the program being reviewed.
§A new structure for commencement speakers with different speakers has been established. Dean Stone asked Department Heads to provide a list of possible speakers (e.g. successful alumni) to her, and she will forward the names to John Catau.
Application forms for faculty positions (including per course) must be sent to Human Resources and John Black at the same time the applicant summary is submitted. This form provides self-reported felony convictions. Approval must be given before interviews are conducted. The Board of Governors would like to see criminal background checks for all positions. Right now these checks occur only for sensitive positions such as the Child Development Center and Greenwood Lab School.
§The annual CHPA Faculty Activity Report was discussed. It was agreed upon by the Department Heads that Dr. Matthews will send the F.A.R. out as a Word document so faculty may update the file as needed. It was also decided that more categories need to be added to the F.A.R. to reflect tenure/promotion and departmental compensation plans. Department Heads will review the most recent form of the F.A.R. and submit any suggestions for change to Dr. Matthews.
The Compensation plan – Concern has been expressed over faculty feedback on their evaluation. According to the most recent draft of the plan, Department Heads will provide the following information to each faculty member under review:
1)A copy of the department committee’s narrative review and the committee’s ratings on the three performance dimensions (teaching, research, and service).
2)The Department Head’s narrative review, ratings on the three performance dimensions, and the composite performance rating. The composite rating will be forwarded to the Dean and the Department Heads’ Council for further consideration.
3)If the Department Head’s rating on any of the three performance dimensions differs from that submitted by the personnel committee, the Department Head will provide a brief written rationale to the faculty member.
The Dean will meet with the Department Heads and review the ratings provided by each Department Head (and the narrative assessments as necessary) to determine the final composite rating of each faculty member in the College. The Dean will provide the following information to each faculty member:
1)His/her final composite rating.
2)If the Dean’s composite rating of a faculty member is different from the rating that the Department Head recommends, the Dean will provide a brief written rationale to the faculty member, with a copy to the Department Head.
§The Provost is requesting that there be more efficient use of classroom space on campus. The space audit showed 48% usage of classroom space across campus from 8:00 a.m. – 4:00 p.m. Dean Stone requested that Department Heads review their classroom usage and class sizes and not cap a room at thirty that has a capacity of sixty. She also stated that classrooms in the basement should have no fewer than 60 students. This does not apply to night classes. Department Heads should submit a plan to Dean Stone that specifies how each department will maximize its space efficiency. This is due Oct. 1.
§The CHPA will use CUPA data as a guide for hiring at competitive salaries.
