Notarized Diploma and Transcript

Current or former students who apply for jobs or admission to universities in other countries often need a notarized diploma or transcript in order to obtain an Apostille from the Missouri Secretary of State’s office. Only the Office of the Registrar can notarize Missouri State University diplomas and transcripts. To keep this service free of charge, we only notarize documents generated by the Office of the Registrar.

Step 1: Collect documents to be notarized:

  • For notarized transcripts you must request an official transcript be mailed directly to you or picked up in the Office of the Registrar. Submit the transcript request through your My Missouri State portal or at the Office of the Registrar Transcript website.
  • For notarized diplomas an original diploma must be submitted, or you must order a reissue diploma. Refer to the Office of the Registrar Reissued Diploma/Certificate website for instructions. Reissued diplomas generally take 4-6 weeks to be delivered. We do not accept scanned or copied diplomas for notarization.

Step 2: Complete and sign a Notary Service Request form. Request form must be accompanied by a scanned copy of your MSU or state-issued photo ID.

Step 3: Bring the request form, scanned copy of ID, and all documents to be notarized in person to the Office of the Registrar, or mail all documents to the address on the request form. Processing can take up to two weeks. Your notarized documents can either be mailed or picked up. Refer to the request form for more delivery instructions. Notarized documents cannot be scanned and emailed.

How long does take to get my documents if I am graduating this semester?

Processing may be longer if your degree has not yet been conferred and posted to your transcript. Transcripts displaying a graduation date are usually ready one week after date of graduation, and diplomas are usually ready within four to six weeks. Please allow two additional weeks for notary processing.
