GENERAL FUNCTION

The Supply Buyer/Department Charge Coordinator purchases and maintains inventory control of school, office, and art supplies. Determines the right amount of supplies needed by checking enrollment, coordinates with faculty and department admins to determine if special supplies are needed for their classes. Places orders, prices goods for sale, prepares supply packets for purchase, and purchases/maintains greeting cards, gifts, and seasonal merchandise. The Supply Buyer Department Charge Coordinator manages the daily operations of the charge counter and supply sales floor, including purchasing products, maintaining inventory control, pricing products, merchandising, and meeting sales goals. Supervises the operation of the bookstore supply area, prices and marks-up merchandise, and assists with general store security. Facilitates the processing of departmental purchases, vocational rehabilitation, veterans, athletics, residence assistants, third party vendors, and Financial Services charges. The Supply Buyer Department Charge Coordinator researches and prepares the University Campus Planner annually.

MINIMUM ACCEPTABLE QUALIFICATIONS

Education: High school diploma or equivalent is required; a bachelor’s degree preferred.

Experience: At least two years of buying and inventory control experience are required.

Skills: Familiarity with computer applications such as word processing, spreadsheet, and database applications are required. The ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds is required.

Effort: This position stocks shelves, unpacks boxes, and moves objects short distances weighing up to fifty pounds.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Ensures an appropriate supply of merchandise by purchasing and maintaining inventory control of all required and non-required supplies, academic course materials as required/recommended by academic departments, and the greeting cards by ordering and maintaining fixtures of both every day and seasonal assortments of cards.

2. Maintains an effective operation of the supply area by supervising the general operation.

3. Contributes to the overall efficiency of the University Bookstore's daily operations through supervision of daily receipts, general store security, processing invoices, preparing supply packets for purchase, and processing departmental, vocational rehabilitation, veterans, athletics, residence assistants, third party vendors, and Financial Services charges.

4. Assists in maintaining a profitable bookstore operation by pricing merchandise and markups according to the guidelines and goals of the bookstore and building solid working relationships with the academic departments across the campus.

5. Assures that shelves are stocked with in demand items in proper quantities by reviewing catalogs, evaluating new products, talking with vendors, checking enrollment figures, and working with faculty to determine if special supplies are needed for their classes.

6. Fulfills the need for a comprehensive calendar/planner specific to the University by researching deadlines, sports schedules, and events and preparing the annual University Campus Planner, including appropriate information about the bookstore operation.

7. Hires, trains, schedules, and supervises the work of part-time and student workers at the department charge desk and sales floor.

8. Develops promotional campaigns and conducts special events, merchandises products effectively, and contacts regular customers about new products, promotions, and demonstrations to reach sales goals.

9. Supports the overall operational success of the Bookstore by participating in the annual storewide physical inventory, in addition to routine cycle-counts to ensure the accuracy of the inventory throughout the fiscal year. May serve as a rotational manager for weekend and evening store operations.

10. Responsible for oversight of the generic bookstore email account, responding to emails with basic customer service support. Also responsible for maintaining the voice mail on the bookstore main phone line, updating messages and responding to voice mails via email or phone.

11. Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.

12. Maintains competency in current skills and develops new skills as the job requires by attending training and/or courses as required by the Director of the Bookstore.

13. Contributes to the success of the University Bookstore operation by performing other duties as required.

SUPERVISION

The Supply Buyer/Department Charge Coordinator supervises student and part-time workers.
