Preparing a Digital File
Preparing a digital file for printing is a joint effort between you and Printing Services. However, the process starts with you. The quality, cost and scheduling of your printing job depends very much on the condition of file you present us.
Copy is defined as all material to be included in a printed piece. The following suggestions should help you prepare your copy:
- All content should be proofread and corrected. Correct spelling, grammar and layout will save time later.
- Copy requiring design or artwork
- should be presented in rough form. You do not have to be a designer or artist - just have an idea of what you want, including approximate sizes.
- Designate your digital files as created in Mac or PC
- Designate what software was used and what version of that software the file was saved in.
- Page layout programs such as In-Design are preferred, although Microsoft Word is acceptable also. Publisher files are not recommended and will require extra time and cost. If using Word, make sure to choose a font color (i.e. red, green, black), Do Not Use Automatic. Doing so creates your text in RGB and causes your text to be screened and it will look pixilated (jagged).
- Digital artwork files (i.e. picture, illustrations) must be included even if the file has been embedded in the document and should be presented as grayscale (for spot color) or CMYK (for 4 color process) files with a resolution of at least 300 dpi. The artwork files should be tiff, jpeg or eps files.
- Fonts must be either truetype fonts or postscript fonts which must include both printer and screen fonts.
- A laser printout of the file should also be included. If your job is to be printed in more than one color, please provide printouts of the color separations and a composite file. For example, if your project is to print in black and 505 maroon, you would provide a laser print of what prints in black, prints in 505 and a composite of both together. If your project is printing in 4 color we need a laser print for each of the 4 colors (CMYK) and a composite print. If you can not print out proper separations of your file we may need to spend time correcting your file. This will add production time and costs to your project.
- Printing Services will check for compliance with all postal and university guidelines including the most recent affirmative action statement and correct university color CMYK breakdown.
- Customers will be contacted when proofs are ready to view and approve.
- It is the customers resposibility to throughly check all proofs for accuracy and all proofs must be signed by the customer as approved and ready to print.
