GENERAL FUNCTION

The Custodial Support Services Supervisor performs responsible supervisory and administrative work in directing custodial and related building services ensuring that custodial services meet the needs of the University and established custodial guidelines. The Custodial Support Services Supervisor coordinates the acquisition of contract services for unique, exceptional, or specialized custodial services, monitors the quality of contracted cleaning services, determines specifications for products and services, orders custodial supplies, inventories supplies and equipment, and manages the supply and contract services budgets. The Custodial Support Services Supervisor maintains administrative records related to purchasing, Materials Safety Data Sheets, inventory, and training and provides safety training and training on restroom cleanliness. The Custodial Support Services Supervisor arranges for repair of custodial equipment, spot checks buildings to monitor cleanliness, interviews applicants, responds to complaints and custodial needs, reports safety problems and student needs to Work Management, and assumes the duties and responsibilities of the immediate supervisor in his/her absence.

MINIMUM ACCEPTABLE QUALIFICATIONS

Education: A high school diploma or the equivalent is required.

Experience: At least six years of experience in custodial services is required, which includes a minimum of three years of supervisory experience.

Skills: Supervisory and administrative skills are required. Knowledge of custodial procedures, supplies and equipment and the ability to instruct others in their proper application is required.

Effort: Requires the ability to inspect the cleanliness of facilities and areas that may only be accessible by climbing ladders or stairs, bending, reaching on top of partitions, cabinets, bookcases and ledges, moving furniture or equipment.

Other: Scope of the position requires responding to custodial emergencies or other unforeseen situations around-the-clock.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Ensures that custodial personnel have the equipment and supplies necessary to perform custodial services by preparing product specifications for the purchasing process, ordering supplies using the UBUY system and Departmental Order Forms (DOF), assuring that supplies meet specifications, maintaining inventory records of custodial supplies, issuing supplies, requisitioning for replacement items as necessary, and storing the supplies and equipment in a secure facility.

2. Coordinates the acquisition of contract services by developing specifications for work to be performed, preparing the appropriate paperwork to support the request, and coordinating with the contractor to schedule the work.

3. Ensures that specified contract service(s) are provided by the contractor by inspecting the work being performed, advising both the contractor and the one’s supervisor when shortcomings or other deficiencies are noted, and authorizing the payment of invoices for completed work.

4. Maintains custodial equipment in good working order by arranging for repair and monitoring the results for performance according to University guidelines.

5. Ensures that custodial services meet the needs of the University and established custodial guidelines by planning and scheduling custodians to work for special events and assigning overtime.

6. Advises the supervisor of the condition of University buildings and facilities by conducting inspections of these areas, inspecting the work of custodial personnel and reporting problems to the Superintendent or Supervisor, reporting the results of the inspections with particular emphasis on needed repairs, and contacting Work Management to report safety issues, student needs, light outages, and contractor abuse of University property.

7. Helps to develop an effective team of custodial personnel by providing safety training and instructing all employees in the proper methods and use of materials and equipment for safe and efficient work performance and training custodians on the cleaning of restrooms.

8. Assists in hiring qualified employees by participating in the interview process and making recommendations to the supervisor regarding the employment of applicants.

9. Provides continuity of supervision and leadership within the department by assuming the duties and responsibilities of one’s immediate supervisor in his/her absence.

10. Remains competent and current through self-directed reading related to custodial services, attending professional development courses, and attending training and/or courses as required by the immediate supervisor.

11. Contributes to the overall success of the department by performing all other duties and responsibilities as assigned.

SUPERVISION

The Custodial Support Services Supervisor is supervised by the assigned supervisor, may supervise assigned employees directly, and supervises all Custodial employees indirectly.

Factor 1: Educational Requirements of the Job

Level 2 - 100 Points: The job requires a high school diploma or equivalent.

Level 3 - 550 Points: General mechanical or technical aptitude and specific knowledge and experience in a skill, craft, or trade. The ability to perform standard procedures, operations, and/or operate specific equipment, that is required through at least two years of experience and previous training is required.

Level 5 - 500 Points: Supervision of a work group or department including hiring, training, disciplining, and directing the work of others. At this level the required supervision will likely include general rather than close supervision of others. Typically, the nature of the work may involve the supervision of other supervisors or work group leaders, or the responsibility for a rather large group of operative employees in non-technical or non-highly skilled areas. At this level, supervisory responsibilities consume significant amounts of work time and include substantial responsibility for budget development as well as financial control, purchasing, and work planning responsibilities.

Factor 4: Guidelines

Level 3 - 90 Points: Procedures and standards exist, but considerable latitude in applying procedures and selecting a sequence of activities must be exercised. The employee uses judgment in interpreting and adapting guidelines such as agency policies, regulations, precedents, and work directions for application to specific cases or problems. The employee analyzes results and recommends changes.

Factor 5: Contacts

Level 4 - 175 Points: The purpose is to coordinate activities involving employees, students, and/or the general public. At this level, contacts involve considerable interpersonal skill involving cooperation and coordination and may involve the organization of activities of programs requiring working relationships among several parties. While contacts may require some level of persuasion, potential for conflicts and disputes are relatively minor.

Level 2 - 40 Points: The work area involves moderate discomfort and/or risk such as that from moving machinery, occasional work with hazardous substances, or moderate levels of noise. The work may require wearing of protective gear. The work area is generally adequately lighted and ventilated, but may involve uncomfortable temperatures at times.

Factor 7: Physical Demands

Level 2 - 60 Points: Work requires some exertion such as standing for long periods of time, considerable walking, frequent bending kneeling, reaching, and stooping. May include occasional lifting of moderately heavy objects. Work may require specific but common physical abilities.

Factor 8: Responsibility for Facilities and Resources

Level 3 - 70 Points: At this level would be jobs in which the incumbent has considerable ongoing responsibility for building security and public safety.

Factor 9: Complexity

Level 3 - 450 Points: The work includes various duties involving different and unrelated processes and methods. Decisions regarding what needs to be done depend upon knowledge of the duries, priorities, commitments, policies, and program goals of the supervisor and the department and involve the analysis of the subject, phase, or issues involved in each project or assignment, and the course of action may have to be selected from many alternatives. The work involves elements that must be identified and analyzed to discern interrelationships.
