GENERAL FUNCTION
The Teacher Certification Assistant provides administrative support for the Teacher Certification Office by evaluating transfer credits and certifying the completion of various academic markers for compliance with Missouri State University Teacher Certification policies and procedures. In conjunction with the Coordinator of Teacher Certification, the Teacher Certification Assistant determines if students have met all teacher certification requirements. The Teacher Certification Assistant assists in the updating and printing of the Post-Baccalaureate Guide to Teacher Certification and provides administrative clerical support for the Teacher Certification Office.
MINIMUM ACCEPTABLE QUALIFICATIONS
Education A high school diploma is required; a Bachelor's degree is preferred.
Experience Two years of increasingly responsible experience involving organizing and managing projects is required. Secretarial/clerical experience in a university setting including administrative responsibilities is preferred.
Skills A keyboarding rate of 50 wpm is required. A functional knowledge of word processing, spreadsheets, and database management is required. Strong written and verbal communication skills, the ability to operate electronic, photocopier, or other standard office machines, make arithmetic calculations, and maintain complex filing systems and records are required. Effective interpersonal communication skills, both oral and written, are required, including skill in communicating in one-on-one situations with students. Skill in communicating with other administrative offices on campus is required. Must have strong decision-making skills, the ability to prioritize tasks, and the ability to handle numerous tasks simultaneously while maintaining accuracy. Strong organizational skills are required; must be able to work independently.
Effort Clerical positions are primarily sedentary; however, some positions may require walking and/or standing for extended periods of time. Clerical positions occasionally require the ability to lift and carry materials and equipment weighing up to twenty-five pounds, to reach heights up to eight feet by climbing ladders or stools, and to bend or crouch to reach materials or equipment stored on lower shelves or in lower cabinet/desk drawers. Clerical positions require keyboarding on a daily basis, which may be extensive at times.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Assures the prompt and accurate processing of requests for transcript analyses of all Post-Baccalaureate and Master's degree students seeking Missouri Teacher Certification at Missouri State University.
2. Assures files and records are current by monitoring the schedule and process of creating, maintaining, and updating Individualized Programs of Study, including the calculating and monitoring of overall and major GPAs, and overseeing the purging and destruction of records of students who are no longer pursing teacher certification.
3. Monitors the student certification process by evaluating and tracking the completion of various requirements for compliance with the current standards of Teacher Certification as established by the Missouri Department of Elementary and Secondary Education (DESE).
4. Evaluates and approves course substitutions of correspondence and transfer courses from other accredited institutions by comparing title and description of courses in accordance with Missouri State Teacher Certification policies and procedures and consulting with academic department heads as needed regarding the re-evaluation of coursework.
5. Promotes a positive image of the office and the University by ensuring that all inquiries from students, faculty, and staff are handled in a polite and professional manner, assisting Post-Baccalaureate and Master's degree students with issues regarding the transfer of courses from other accredited institutions, and assisting students in the reevaluation process.
6. Manages student records by receiving, sorting, and filing student information, safeguarding the confidentiality of student records, and creating and updating files and records as needed.
7. Supports the Office of Teacher Certification by planning, organizing, and facilitating the orientation program for new students entering the Teacher Certification program and proofreading, editing, and updating the Post-Baccalaureate Guide to Teacher Certification, academic program guides, transcript analysis templates, the Teacher Certification website, correspondence with students, etc.
8. Assists in the development of the competent, productive, and effective staff by assisting in interviewing and recommending qualified student applicants for hire and training and supervising student employees.
9. Supports the Office of Teacher Certification by ensuring office supplies and equipment are available, maintaining accurate office and financial records, ensuring the proper completion and distribution of forms and documents, ensuring accuracy in the receipt and deposit of transcript analysis fees, and making administrative decisions on behalf of the Coordinator when appropriate and within established guidelines or policy.
10. Maintains competency and currency through attending professional development courses, developing professional contacts with colleagues, and attending training and/or courses as directed by the Coordinator of Teacher Certification.
11. Supports the overall success of the Teacher Certification Office by performing all other duties as assigned.
SUPERVISION
The Teacher Certification Assistant is supervised by the Coordinator of Teacher Certification and supervises student workers.

Factor 1: Educational/Experience Requirements of the Job
Level 4 - 500 Points: A combination of education and experience equivalent to a Level 4 as indicated by the Equivalencies Chart, when permitted by the Minimum Acceptable Qualifications.

Factor 3: Responsibility for the Work of Others
Level 3 - 60 Points: Supervision of one student or part-time worker or graduate assistant, where the nature of supervision is largely confined to scheduling and assigning tasks and reviewing completed work. The incumbent may provide input into the staffing and evaluation processes, but the final decisions are made by other supervisors. The incumbent does not perform a full range of supervisory activities and spends relatively little time performing supervisory functions.
Factor 4: Guidelines
Level 3 - 220 Points: The work involves carrying out a group of procedures using the general methods and desired results indicated by the supervisor. Typically, standard operating procedures, handbooks, and/or reference manuals exist for most procedures, but the incumbent must select from the most appropriate of several guidelines, and make minor adjustments to methods. The incumbent uses judgment in interpreting and adapting guidelines such as University policies, regulations, precedents, and work directions for application to specific cases or problems. The incumbent makes decisions regarding most deviations from the guidelines but major deviations from guidelines are referred to the supervisor. Assignments are related in function and objective, but processes, procedures, or software varies from one assignment to another. Based on assignment, incumbents use diverse but conventional methods, techniques, or approaches. Jobs at this level may perform work that is moderately complex, but normally performed within a fairly narrow and specific functional area.
Factor 5: Contacts
Level 4 - 205 Points: The purpose of interactions is to solve recurring and structured problems, to provide specialized or technically precise information to others, and/or to plan or coordinate work efforts with other employees. Contacts involve cooperation and coordination and may involve the organization of activities of programs requiring working relationships among several parties. While contacts may require some level of persuasion, potential for conflicts and disputes are relatively minor. Interactions are moderately structured and routine and may involve employees in different functions, students, and/or the general public.
Factor 6: Work Impact
Level 3 - 300 Points: Work activities normally address conventional problems or situations with established methods to supply other employees with information, services, or products they use to perform their work. Work products or services facilitate the work of other employees and directly affects the ability of other employees to timely complete specific tasks or processes. Work activities may affect the quality of services provided to moderate numbers of employees, students, or the public, but the services, information, or products provided have relatively minor effects on the welfare of the affected groups.
