The Admissions Coordinator/Academic Advisor is responsible for the overall admissions process to the undergraduate Nursing program, including the production and distribution of print and internet recruiting and application materials, admissions database management, academic advisement of program applicants, review of application materials, assistance in and coordination of the applicant selection process, post-decision counseling of unsuccessful applicants, and preparation of reports concerning the admission pool. The Admissions Coordinator/Academic Advisor also assists with graduate tracking and provides support for accreditation activities and training grant activities. The Admissions Coordinator/Academic Advisor maintains the Nursing web site to ensure all printed materials and web site are current.
MINIMUM ACCEPTABLE QUALIFICATIONS
Education A Bachelor’s degree in an appropriate area is required.
Experience Experience in health professions academic advisement is preferred. Successful experience in working with the public is required.
Skills Excellent interpersonal and organizational skills are required; the ability to work well with others as a team is required. Must be self motivated. Computer skills, including proficiency in database design and maintenance is required. Web development skills are preferred.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Assists with the recruitment and admission of students to the undergraduate Nursing Programs by overseeing the designing, printing, and distribution of print and internet materials related to admissions and application materials and representing the Department at recruiting events and functions.
2. Manages and responds to requests for information about the undergraduate Nursing Programs and prepares annual admissions’ pool reports, and graduate data by designing and maintaining the database system.
3. Ensures accurate communication with program applicants by serving as the primary academic advisor by telephone or in person to all program applicants.
4. Coordinates the applicant selection process by receiving and reviewing all application materials and assisting in and coordinating the applicant selection process.
5. Helps to strengthen re-applications by providing post-decision counseling for unsuccessful applicants.
6. Assists the Department Head and the BSN and BSNC Program Directors to evaluate practice patterns, salary, etc. by continuous tracking of program graduates annually.
7. Provides support for program accreditation and training grant activities by collaborating with the Program Directors and the Department Head on the design and production of federal training grants and accreditation activities.
8. Ensures the currency of information accessible on the Nursing web site by monitoring and maintaining the web pages.
9. Remains competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses required by the Department Head.
10. Helps to ensure the success of the Nursing Program by assisting with day to day operations of the program and performing other duties as assigned.
The Admissions Coordinator/Academic Advisor, Nursing is supervised by the Head of the Department of Nursing and may supervise full time, part time, or student workers.

Factor 1: Professional Knowledge, Skill, and Technical Mastery
Level 2 - 900 Points: Entry-level professional knowledge of the principles, concepts, practices, and methods of non-technical administrative and managerial functions. Knowledge at this level is typically acquired through a combination of formal education and/or training and experience that includes a requirement for a college degree in an unspecified field or a specific background in a non-technical area. Knowledge requirements may also include a limited amount of related work experience.
Factor 2: Supervisory Responsibility
Level 1 - 50 Points: Typically, little, if any, supervision of others is required. The job may require irregular but occasional responsibility to direct the work of student workers and/or temporary or part-time workers. The nature of supervision is largely confined to assigning tasks to others and does not include a full range of supervisory responsibilities. The amount of time spent on directing the work of others is normally a small portion of total work time.

Level 3 - 250 Points: The purpose of interactions is to advise or counsel others to solve recurring and structured problems, and/or to plan or coordinate work efforts with other employees who are working toward common goals in situations where relationships are generally cooperative. Interactions are moderately structured and routine and may involve employees in different functions, students, and/or the general public. These types of interactions require normal interpersonal skills.
Factor 4: Job Controls and Guidelines
Level 2 - 250 Points: The employee carries out a group of procedures using the general methods and desired results indicated by the supervisor. Typically, standard operating procedures, handbooks, and/or reference manuals exist for most procedures, but the employee must select from the most appropriate of several guidelines and make minor adjustments to methods. Unforeseen situations are normally referred to others for resolution. Assignments are related in function and objective, but processes, procedures, or software varies from one assignment to another. Based on the assignment, the employee uses diverse, but conventional, methods, techniques, or approaches. Employees in jobs at this level may perform work that is moderately complex, but normally performed within a fairly narrow and specific functional area.
Factor 5: Managerial Responsibility
Level 2 - 400 Points: Work involves services including collecting, processing, and disseminating information and providing advice to others. Work activities may be complex and likely affect the accuracy, reliability, or acceptability of further processes or services to the extent that others rely on the advice given in order to make decisions. Work activities typically affect the efficiency of the department but have relatively minor effects on operations within the cost center. Individuals in jobs at this level are often responsible for actively documenting, monitoring, and controlling expenditures. Incumbents may recommend minor expenditures, but have no substantive authority over budgets.
