Conversion of textbooks and materials

All students requiring access to materials in alternative formats such as word, PDF, braille, large print, daisy, or mp3 files must first request alternative format textbooks as an accommodation through the Disability Resource Center (DRC) or the Learning Diagnostic Clinic (LDC). If this accommodation is approved, the required course texts will be ordered through the publisher, Learning Ally, or Bookshare by staff at DRC and LDC. In the event that DRC and LDC are unable to obtain the requested alternative format of a textbook, Assistive Technology Services and the student will be notified. At this point, the student is responsible for contacting Assistive Technology Services to arrange conversion of required materials into an alternative format. When contacting Assistive Technology Services students should make sure that ATS staff have the following information:

Preferred document format: txt, rtf, dox, pdf, brl, daisy, or mp3

User ID: abc123

M#: m0000000

Completion date requested: xx/xx/xxxx

 

Generally, notice of 3 business days should be given for any conversion request. If the size of the document is larger than normal or there are complications in the scanning process, completion may need to be extended. In this event, the student will be notified by ATS staff promptly.

 

ATS staff will not search for or purchase any documents or textbooks. It is the responsibility of all faculty, staff, and students to bring or e-mail documents directly to Assistive Technology Services.

 

Please note that unless other arrangements have been made the book binding will be removed from the textbook for scanning purposes. ATS will attempt to re-bind the book into a comb binder and return it to the student. Occasionally, some textbooks may be unable to be re-bound in this manner due to the thickness of the cover.

 

Once materials have been converted they will be saved to the student’s online folder (add link here). Students are responsible for picking up all textbooks and other converted materials from the Assistive Technology Services office no later than finals week. Any material remaining after finals week will become the property of ATS.
