“The Conference Services Office is your first stop for meeting and event planning needs on the Missouri State campus.”
“Event and meeting spaces in the Plaster Student Union can be booked one year in advance. Academic spaces may be made one semester in advance.”
“Have you ever noticed people tend to sit in the back of a room first? Just walk in any classroom! Clever planners have put reserved signs on the back row(s) to force people to sit up front first. This helps to avoid the uncomfortable requests like, would you mind moving up a couple of rows? after your guests are seated and comfortable.”
“If you are hosting guest speakers, presenters, or exhibitors please have a discussion with them early in the event planning process about AV, electrical, or equipment needs. Convey your guests’ AV or sound needs to the Conference Services Office as soon as possible to ensure a smooth event.”
“If there is a strong possibility food service will be ordered for an event, give Conference Services a heads up when reserving space. That way time can be scheduled before and after the event for setup and takedown of food service.”
“Help your guests by providing information regarding their ground transportation needs. Remember to make arrangements for campus parking.”
“Accurate directions to the University for your out-of-town guests, can be accessed from the Missouri State web site.”
“If your event will have a question & answer portion with a large number of attendees are expected; remember to request standing floor microphones so audience members can step up and be heard.”
“Save money on your event/meeting budget – by bringing in your own A/V equipment or checking out equipment from ETC (Educational Technology Center located on the 2nd floor of Meyer Library or etc.missouristate.edu.)”
“To provide your guests a more health-conscience menu, you can request items such as Danishes, breads, and brownies cut into bite-size pieces or in half.”
“Food Service requests should be made by 10 business days prior to the event, with the final count (“guarantee”) confirmed at least 48 hours before the event. Requests made in less than 10 business days are subject to late fees.”
“Recognized student organization or University department hosting an event/meeting are not assessed a room rental fee. Room rental fees are assessed when participants are charged admission/registration, or items are sold at the event. Changes in standard setup of room and the use of most PSU equipment will have fees assessed.”
“Changes in standard setup of room and the use of most PSU equipment will have fees assessed. Please contact Conference Services office for a list of all charges. “
“Groups can bring their own AV equipment or check equipment out from ETC. In such case, setup and troubleshooting is the responsibility of the group.”
“Keep in mind that setup needs, such as other equipment needed, can lower the seating capacity of an event space. Contact Conference Services for your event planning needs.”
“All food served in the Plaster Student Union or at events elsewhere on campus booked through the Conference Services Office must be provided by Sodexo or through a PSU vendor or affiliate.”
“Departments and Organizations can reserve the snow cone or popcorn machines through the PSU for their next event - simply contact Conference Services for more info: 417.836.5653 or online.”
“For outdoor events remember to reserve a rain location or alternate date in case of inclement weather.”
“Ensure a smooth event remember all equipment/setup needs must be requested 10 working days in advance.”
